1. Who we are
Knowledge Worlds is a U.S. 501(c)(3) nonprofit educational organization based in California. We operate knowledgeworlds.org, the SkillUp initiative and related learning, volunteer, donor and employer programs. In this policy, “Knowledge Worlds,” “we,” “us” and “our” refer to Knowledge Worlds.
2. Scope
This policy applies to our website, appointment scheduling, program inquiries, educational activities and communications that link to it. A partner service may provide an additional notice when its practices differ from ours.
3. Information we collect
Information you provide
- Contact and scheduling information: name, email address, telephone number, appointment time, organization and information you include in a booking or message.
- Program and participation information: interests, goals, experience, application responses, attendance, feedback and records needed to administer learning, volunteer or employer programs.
- Donation information: contact details, donation amount and related records. Payment card or bank information is handled by the payment processor and is not intended to be stored by Knowledge Worlds.
- Communications: messages, survey responses and support requests you send to us.
Information collected automatically
Our website and service providers may collect limited technical information such as IP address, browser and device type, pages viewed, referring page, date and time, cookie identifiers and diagnostic logs. We use this information to operate, secure and improve the website. We do not currently use this website information to sell profiles or serve cross-context behavioral advertising.
Information from partners
We may receive information from schools, community organizations, employers, volunteers, event partners or service providers when they are authorized to share it for a program or request. We ask partners to share only information that is relevant and lawful to provide.
4. How we use information
- Respond to inquiries and schedule initial discussions.
- Administer educational, mentoring, volunteer, donor and employer programs.
- Provide requested content, communications and program updates.
- Process and acknowledge donations through approved providers.
- Measure program participation and outcomes, preferably using aggregated or de-identified information.
- Maintain website reliability, accessibility, security and fraud prevention.
- Comply with law, protect rights and enforce our agreements.
We do not use student or learner information for targeted advertising, and we do not require more personal information than is reasonably necessary for the relevant activity.
5. How we share information
We may share information only as reasonably necessary with:
- Service providers: website hosting, email, scheduling, CRM, analytics, learning-platform, payment and security providers that process information for us. Our appointment calendar is provided through HighLevel.
- Program partners: schools, community organizations, volunteers or employers when sharing is necessary for a program and permitted by notice, consent, contract or law.
- Legal and safety recipients: authorities or other parties when required by law or reasonably necessary to protect people, rights, safety or the integrity of our services.
- Organizational successors: a successor or partner involved in a reorganization, merger or transfer, subject to appropriate safeguards.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
6. Cookies and similar technologies
Our site and embedded scheduling tools may use cookies or similar technologies for essential operation, security, preferences and limited measurement. You can control cookies through your browser. Blocking some cookies may affect embedded tools. Where required, we will provide additional choices before using nonessential cookies.
7. Children and educational programs
Our public website and appointment calendar are intended for adults and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through these services. If we learn that we did so without appropriate authorization, we will take reasonable steps to delete it.
If Knowledge Worlds offers a program involving children, we will use age-appropriate notices and obtain parental, guardian or school authorization when required. We will limit collection to what is reasonably necessary, restrict commercial use and advertising, protect the information and retain it only as long as needed for the educational purpose and legal obligations.
Educational records may be subject to additional agreements or laws. This policy does not make Knowledge Worlds a school official or create rights under the Family Educational Rights and Privacy Act unless a specific program agreement says so.
8. Data retention
We keep personal information only as long as reasonably necessary for the purposes described here, including program administration, donor and financial records, legal compliance, dispute resolution and security. Retention periods vary by record type. We delete, anonymize or securely dispose of information when it is no longer needed, subject to legal and archival obligations.
9. Security
We use reasonable administrative, technical and physical safeguards appropriate to the nature of the information, including access controls and encrypted transmission where supported. No system can guarantee absolute security. Please do not send sensitive information through an ordinary email or booking-note field.
10. Your choices and privacy requests
You may ask us to access, correct or delete personal information associated with you, or to explain how it has been used or shared. You may unsubscribe from promotional email using the link in the message or by contacting us. We may need to verify your identity and may retain information when permitted or required by law.
California privacy laws may provide additional rights in some circumstances. Although nonprofit organizations are often outside portions of the California Consumer Privacy Act, we voluntarily consider reasonable access, correction and deletion requests where feasible. We will not discriminate against you for making a privacy request. Because we do not sell or share personal information for cross-context behavioral advertising, we do not currently provide a “Do Not Sell or Share” link. We will honor legally required browser-based opt-out signals if our practices change.
11. Third-party links and services
Our website may link to or embed services operated by others. Their privacy practices are governed by their own notices. We encourage you to review those notices before providing information.
12. International visitors
Knowledge Worlds is based in the United States. If you access our services from another country, your information may be processed in the United States, where privacy laws may differ from those in your location.
13. Changes to this policy
We may update this policy as our programs, vendors or legal obligations change. We will post the revised policy here and update the date above. We will provide additional notice when a material change requires it.
